Article I: NameThis society shall be called ACM SZABIST Chapter.
Article II: Purpose

1. The Chapter organized  will be operated exclusively for educational and scientific purposes to promote  the following:
  (a) An increased  knowledge of and greater interest in the science, design, development,  construction, languages, management and applications of modern computing.
  (b) Greater interest in  computing and its applications.
  (c) A means of  communication between persons having an interest in computing.

  2. The Chapter will  serve students at SZABIST.

  3. The Chapter is  chartered by the ACM.

Article III: Membership

1. Membership in the  SZABIST Chapter shall be open to all ACM members and non-members.
2. Voting membership in  the SZABIST Chapter shall be granted to chapter members who are also ACM  members.
3. Membership shall be  of two types:
 
Executive  Body Membership
 
General  Body Membership

Article IV: Officers

1. The officers of this  Chapter shall be: Chairperson, Vice Chairperson, General Secretary, Treasurer,  Chief Technical Officer, Chief Information officer, Chief Internal Auditor and  Marketing Officer. These officers  constitute the Executive Body. 
2. At least three  officers of the Chapter must be members of ACM. The Chairperson and the Vice  Chairperson must be members of ACM. 
3. The officers shall be  elected by a plurality of the votes cast during the annual elections. They  shall take office at the start of the next semester and serve for a period of  one year. 
4. All officers who are  part of the executive body of ACM SZABIST chapter should have a CGPA greater  than 3.0 and should not have failed in any course. 
5. No officer may hold two  positions in the executive body.

Article V: Duties of  Officers

1. The Chairperson is the  principal officer and is responsible for leading the Chapter and managing its  activities in accordance with the policies and procedures of the ACM and this  Constitution. The Chairperson shall preside at all meetings of the chapter and  of its Executive Body. The duties of the chairperson consist of but are not  limited to:
  (a) Ensuring the  execution of one event per month.
  (b) Assuring smooth and  orderly progression of the Chapter.
  (c) Eliminating roadblocks  that may hinder members from executing their tasks successfully.
  (d) Nominating the event  in-charge.   
  (e) Developing strong  ties with other communities of SZABIST.
2. The  Vice Chairperson shall preside at meetings in the absence of the Chairperson,  assist the Chairperson in the management of the Chapter, and perform other  duties that may be assigned by the Chairperson.
3. The Secretary (or  secretarial appointee) shall keep the minutes of all Chapter and Executive Body  meetings. Other duties of the Secretary include:
  (a) Maintaining the  records of the Chapter.
  (b) Preparation of the  Chapter’s activity report and officer contact information, and submission of  these to ACM Headquarters.
  (c) Submission of any  proposed amendment to this Constitution to the executive body. Proposed  amendments must be approved as per Section 1 of Article X, before they can be  submitted to the Chapter’s executive body for a vote.
  (d) Perform other duties  as assigned by the Chair.
4. The Treasurer shall  collect dues, pay all bills, and maintain the Chapter’s financial records.  Duties of the Treasurer also shall include:
  (a) Obtaining finances  from the Student’s Council for the activities of each semester. 
  (b) Preparing a  tentative budget for the list of events that have been planned for the upcoming  semester.
  (c) Preparation of the event’s  Financial Report for presentation to the Chapter at the post-event executive  body meeting.
  (d) Completion and  submission of the Annual Financial Report to faculty sponsor.
  (e) Performance of other  duties as assigned by the Chair
5. The Chief Technical  Officer shall be responsible for the scientific and technical issues within the  Chapter. Other duties of the CTO include:
  (a) Maintaining the ACM  SZABIST chapter website.
  (b) Providing technical support  during all events.
  (c) Performing other  duties as assigned by the Chair
6. The Chief Information  Officer shall be responsible for holding every bit of information that relates  to the Chapter in any way. The following responsibilities come under the CIO’s  jurisdiction:
  (a) Content management at  the ACM SZABIST website
  (b) Collaborate with  SZABIST faculty as well as students as and when required.
  (c) Perform other duties  as assigned by the Chair
7. The Chief Internal Auditor  shall monitor the over all activities of ACM SZABIST chapter and report to the  faculty sponsor. The responsibilities include:
  (a) Validating the  feasibility of the proposed list of events, for the upcoming semester, after analyzing  the budget and other hindrances that may be present.
  (b) Monitoring each  member throughout the event and identifying those members who failed to  complete their assigned tasks, during the post-event executive body meeting.
  (c) Scrutinizing the  post-event budget against the actual spending that has been made during the  course of an event.
  (d) Performing other  duties as assigned by the Chair.
8. The marketing officer  shall be responsible for the promotion and marketing of ACM SZABIST chapter and  all the events and activities organized by the chapter. The responsibilities  comprise of:
  (a) Getting external or  internal sponsors for events whenever needed.
  (b) Ensuring that each  event has a reasonable number of audience
  (c) Marketing an event  through fliers, banners and other suitable methods.
  (d) Performing other  duties as assigned by the Chair
 
    
Article VI: Faculty  Sponsor

1. The faculty Sponsor  shall be a voting member of ACM SZABIST Chapter and a full-time faculty member  at SZABIST.
2. The faculty sponsor  must be a member of ACM.
3. The Faculty Sponsor  shall be generally responsible for the activities of the Chapter. Specifically,  the Sponsor:
  (a) Helps provide  continuity from year to year as student leadership and personnel change.
  (b) Promotes good  student-faculty relationships.
  (c) Helps maintain  university standards in all activities of the Chapter.
  (d) Exercises financial  supervision, if necessary, by:
 
Promoting  prompt payment of bills and collection of dues, and
 
Overseeing  the settlement of all accounts in the event of dissolution of the Chapter; and
(e) Represents the  Chapter interests to the faculty and administration.
 
Article VII: Meetings

1. Meetings shall be  held as planned by the Chairperson and Executive body. The Chapter shall hold  meetings only in places that are open and accessible to all members of the  Association.
2. There shall be a  minimum of two executive body and one general body meeting each month.
3. Every event shall be  followed by a post-event meeting.
4. The tentative budget  and the list of events for the upcoming semester shall be presented in the  first meeting of the semester.  
5. Every executive body  member should be present in all meetings. In case of three absences; the member  shall be monitored under probation.

Article VIII: Events  
All  events shall be planned by the executive body with mutual agreement.
 
For  each event an event in-charge shall be selected by the executive body
 
The  event in-charge will be a member of the executive body and will manage the  entire event.
 
The  event in-charge will assign and coordinate duties to the chapter members. A  task list will be uploaded along with the deadlines of each task.
 
After  the event, the in-charge will document the details of the event in the form of  a report and submit it the executive body and faculty sponsor.

Article IX: Elections Section

1. Nominating Committee.
 The Nominating Committee shall be a standing committee consisting of three  members of the executive body and the faculty sponsor.  Nominating Committee members shall be  appointed by the Chairperson and confirmed by executive body. No member of the  Nominating Committee may be a candidate for any office for which that  Nominating Committee is responsible for nominating candidates. The Nominating  Committee shall be responsible for nominating  candidates for the position of Chairperson within the Chapter. 
 

Section 2. Elections  Committee. 
  The Elections Committee shall be a standing committee consisting of three members  of the executive body. Each year at least one new member shall replace a  retiring member of the Committee. The Elections Committee cannot consist of more  than one student from the same batch. The appointment of a Member to the  Elections Committee shall be made by the Chairperson and confirmed by the  Executive Body. The Elections Committee shall be responsible for coordinating  and supervising the conduct of elections.
 

Section 3. Nominations. 
  The Nominating Committee shall nominate candidates for the position of Chairperson,  to be filled in after the forth coming elections. The Nominating Committee  shall make every effort to insure nominations on an extensive basis. There  shall be at least three nominees for the office to be filled in the forthcoming  elections.
 

Section 4. Voting Process. 
  Voters must be general body members of ACM SZABIST chapter. Each voter shall be  allowed to cast only one vote. Voting dates and times shall be communicated to  all stakeholders by the Secretary through email. The voting process shall continue  for three days. The vacancy shall then be filled by taking the candidate  receiving the largest number of votes.

Section 5. In case of Draw. 
If at any time, there happen a draw between nominated candidates (in any category), other candidates of the respective category will decide the final personnel to be elected.

Article X: Amendments Section

1. Constitution.
The Constitution may be  amended, following an affirmative vote by:
   
A two-thirds majority of all of the members of the executive body taken at an actual meeting as       described in Article VII of this Constitution.
 
The affirmative vote of at least two-thirds of the executive members balloting, provided that       ballots are received from at least 60 percent of the Members of the  Association.
 
Proposed amendments to this Constitution shall be submitted to the executive body members for ballot       upon the affirmative vote of two-thirds of all the general body members of       the Chapter.
 
The Secretary shall renumber the articles and sections of the Constitution as may be       occasioned by amendments of insertion and deletion.

Section  2. Notification.
Any additions or changes in the Constitution shall be reported by the Secretary  to the membership by mail and posted on the ACM SZABIST Chapter website.
